PRIVACY POLICY For CI-Media Ltd

Personal Data

We hold the following personal data as a company:

Customer Details: Addresses, telephone numbers, email addresses for order processing and invoicing purposes, not shared with any 3rd party. Any changes to customer details will be updated with an email sent to confirm the records have been updated. Artworks/Digital files and content provided by customers for printing/web hosting/other digital purposes, will be held on file until customer advises otherwise.

Suppliers: Addresses, telephone numbers, email addresses and bank details for ordering processes and payment.

Any requests to delete personal data will be implemented within 1 month as per the regulations in the General Data Protection Regulation (GDPR). All paper records held would be shredded for security. Any requests to provide personal data will be provided in a commonly used electronic format such as PDF and no fee shall be made for this process. This Privacy Policy will be reviewed and updated as required.

Obtaining your personal data:

Information provided by you

You provide us with personal data via email or over the telephone, or via an online form. This may include name, address, email addresses and Direct Debit mandate instructions or other payment methods if applicable. We use this information in order to manage and administer your account with us as a customer or our account with you as a supplier.

We may also keep information contained in any correspondence you may have with us by post or by email.

Information we get from other sources

We may obtain information from third parties if this is permitted by law. We may also use legal public sources to obtain information about you, for example to verify your identity. Such information (including name, address, email etc.) will only be obtained from reputable third-party companies that operate in accordance with the General Data Protection Regulation (GDPR) and will be obtained only if relevant to us. 

In such cases you will already have submitted your personal data to these companies and specifically given permission to allow them to pass this information to other companies that provide similar or complimentary products and services to those we offer.

How we use your personal data

Your personal data is used to manage and administer your account and may be used in production of print or digital services we've been contracted to produce. We undertake at all times to protect your personal data as required of the General Data Protection Regulation (GDPR). We will also take reasonable security measures to protect your personal data in storage. 

Do we use your personal data for marketing purposes?

We will not use information that you choose to give us for marketing purposes unless you have given your explicit permission to do so. As a rule we do not engage in such marketing activities and will hold your personal data only for the purposes of administering and managing your account, or to deal with the specific request for which you have supplied the information. 

Categories of third parties

Insurance companies, loss assessors, regulatory authorities and other fraud prevention agencies for the purpose of fraud prevention and to comply with any legal regulatory issues and disclosures.

Anyone to whom we may transfer our rights and duties under any agreement we have with you.

Any legal or crime prevention agencies and/or to satisfy any regulatory requests if we have a duty to do so.
